Calendar & Scheduling Overview
The AutoBridge Calendar & Scheduling module handles appointment booking, resource availability, and schedule management for government services. It powers inspection scheduling in the Permitting Solution, service appointments in the Constituent Portal, and any other time-based workflow that needs structured scheduling logic.
What is Calendar & Scheduling?
Scheduling in government is more complex than picking a time slot. Inspector zones, staff certifications, resource availability, blackout dates, booking windows, and IVR (phone-in) scheduling all need to be coordinated. The Calendar module handles this complexity as configuration — not custom code.
Agencies configure calendars that reflect their actual operational rules. Citizens and staff can then book, reschedule, and cancel appointments within those rules, and the system handles conflict detection, capacity enforcement, and notification delivery automatically.
Core Capabilities
Appointment Booking
Citizens book appointments through the Constituent Portal. Staff can also book on behalf of applicants from the internal interface. Booking flows enforce the rules defined in calendar configuration — available time slots, lead time, and capacity limits are all respected automatically.
Resource & Staff Scheduling
Calendars are linked to resources — individual inspectors, vehicles, rooms, or equipment pools. Each resource has its own availability schedule, exceptions, and capacity. When a slot is booked, it draws from the appropriate resource pool.
Inspector Routing (Permitting Integration)
When used with the Permitting Solution, Calendar & Scheduling supports zone-based inspector assignment. Appointments are matched to inspectors whose certification level and assigned zone cover the requested location and inspection type.
Blackout Dates & Exceptions
Administrators configure holidays, agency closure dates, and individual staff time-off at the calendar level. These dates are automatically excluded from available booking windows without requiring manual slot management.
IVR Integration
Citizens can schedule appointments by phone through an Interactive Voice Response system. The IVR connects directly to the Calendar module, reading available slots and recording bookings in real time.
Notifications
Confirmation emails, reminders, and rescheduling notifications are triggered automatically by Automation Builder integrations. Appointment records serve as the trigger; notification content and timing are configured in automation rules.
